How to automate bank reconciliation with AI

2026-10-206 min

Matching bank statements against the ERP can take days every month. Here is which part an AI agent can do, what stays human, and how to start with a single account.

Why reconciliation eats entire days

Reconciling means checking that every line on the bank statement matches something in your books: a paid invoice, a supplier payment, a fee, a transfer between accounts. The problem is not difficulty, it is volume.

A company with three checking accounts and 600 transactions a month can keep one person busy for two or three full days matching statements against the ERP, searching by amount, guessing who sent a transfer labeled "TRANSF 76123456" and chasing differences of a few cents.

What an AI agent can take over

An agent does not replace accounting judgment. It replaces the mechanical work that comes before it:

  • Receives or downloads statements from each bank (Excel, CSV or PDF) every day
  • Reads issued and received invoices from your ERP or tax registry
  • Matches each transaction by amount, date, tax ID and description, even when the description is incomplete or misspelled
  • Proposes the match and explains why: "payment from Comercial Los Andes, invoice 4512, same amount, tax ID in the description"
  • Sets aside what does not match: partial payments, grouped deposits, fees and charges with no backing document

AI helps where fixed rules fail: ambiguous descriptions, a customer paying three invoices in one transfer, or a supplier showing up under a different name at the bank.

What stays human

The agent prepares, the person decides. A good setup leaves the accountant or analyst reviewing only the exceptions, with all the evidence in view, instead of going through 600 lines one by one. Nothing is posted without approval.

How to implement it step by step

  1. Pick one bank account and one closed month to start. It works as a test with a known answer.
  2. Define where the data comes from: statements, ERP and invoices.
  3. Write down the rules your team already applies: tolerances, how fees are handled, which accounts are internal transfers.
  4. Run the agent on that month and compare its result with the reconciliation done by hand.
  5. Once automatic matching is reliable, add the other accounts and run it daily.

How much you save

Do the math with your own numbers. If an analyst spends 20 hours a month reconciling and the agent auto-matches 80% of transactions, you get back about 16 hours a month, and reconciliation goes from a month-end task to being up to date every day. That means spotting a missing payment or a wrong charge much sooner.

Common mistakes

  • Trying to automate every account at once instead of starting with one
  • Not storing the reason for each match, which makes auditing impossible later
  • Letting the agent post entries on its own, with no approval step
  • Forgetting transfers between your own accounts, which create false mismatches

Hire someone or automate?

If you are about to hire an accounting analyst to reconcile, ask which part of that role is judgment and which part is matching spreadsheets. The mechanical part can be done by an agent that works every day, never quits and does not get tired at month-end. The person you hire, or the one you already have, can focus on what actually needs judgment.

If you want to see how it would work with your accounts and your ERP, book a meeting and we will review it with a real month.
